Upgrades and downgrades
Change plans, buy or return seats, and see what happens when you hit a limit.
Change plan or seat count from Admin → Settings → Plans & billing. Upgrades and seat increases apply now. Downgrades and seat decreases wait until the end of the billing period.
Hitting a limit
When you try something that exceeds a limit, Quackback shows the limit, your current usage, and what to do next. Existing data stays. You can keep editing, voting on, and commenting on what you have.
Free includes 2 boards and 50 posts. Paid plans include unlimited boards and posts.
Boards and posts
On Free, creating a board or post above those caps is blocked until you upgrade, delete a board, or archive a post. Growth, Pro, and Scale have no board or post cap.
Team seats
An invite needs an open seat. Free includes 1 seat, so the second team invite is blocked until you upgrade. On a paid plan, the invite dialog says every seat is in use and offers Add a seat.
Pending team invites count toward seats in use. Portal invites do not.
AI, email, and API usage
Usage meters on Plans & billing show included AI (in dollars), emails, and API requests. When AI or email runs out, Top up buys a pack: $10 of AI usage, or $10 per 10,000 emails. Included usage is always consumed first. Extra credit carries over until you use it.

Change plan
- Go to Admin → Settings → Plans & billing.
- Pick monthly or annual billing. Annual is two months free.
- Choose Free, Growth, Pro, or Scale.
Upgrades take effect immediately. New limits land on your workspace within a few seconds. Quackback prorates the upgrade against your current billing cycle.
A checkout from Free, or converting a trial, defaults the seat quantity to how many seats you already use.
Note: Custom domains start at Growth. SSO and the audit log are on Scale.
Add or remove seats
Add seats buys more right away. You are billed a prorated amount for the rest of the period, and the new seats are usable immediately.
Remove seats schedules a decrease at the end of the billing period. You cannot drop below seats in use (members plus pending team invites).
Removing a member frees a seat in the meter. It does not change what you pay until you click Remove seats.
Warning: The roster never changes your bill on its own. Buy the seats you need, then invite into them.
Downgrade
A plan downgrade is scheduled. You keep the current plan until the billing period ends, then the new limits apply.
Existing data stays accessible. Boards, posts, members, and integrations keep working.
Members above the new seat cap keep access, but you cannot invite above that cap. Boards and posts above Free's 2-board and 50-post caps stay too. You cannot create more until you are at or below the cap, or you upgrade. Usage meters and Scale-only features follow the new plan after the period ends.
Quackback never deletes your data on downgrade.
Examples
- You have 6 team members on Pro and schedule a downgrade to Free (1 seat). Everyone keeps access. After the period ends you cannot invite anyone else until you upgrade.
- You have 8 boards on Pro and schedule a downgrade to Free (2 boards). All 8 stay accessible. After the period ends you cannot create another board until you are at or below 2, or you upgrade.
- You have 200 posts on Pro and schedule a downgrade to Free (50 posts). Every post stays. After the period ends you cannot create another post until you are at or below 50, or you upgrade.
- You have used $28 of Pro's $30 AI allowance this month and move to Growth ($10 included). Existing AI output stays. New AI calls draw from Growth's allowance plus any extra credit you already bought.
- You use SSO on Scale and downgrade to Pro. Scale-only features (SSO and the audit log) stop being available after the period ends.
Trials
Each paid plan includes a 7-day trial, once per plan. Start it from Plans & billing.
Seats are uncapped during a trial or a complimentary grant. At the end of the trial, your workspace returns to Free unless you subscribe. Checkout defaults the seat quantity to current usage.
Note: You get one trial per paid plan (Growth, Pro, and Scale). A Growth trial does not spend your Pro or Scale trial.
Existing paid workspaces
Workspaces on the old flat per-workspace price keep that price and uncapped seats until they change plan. Changing plan moves them onto per-seat billing with quantity set to current usage.
