Manage portal users

Find, filter, and manage the people who give you feedback: user profiles, leads, segments, blocking and removing users, and portal invitations.

The Users area lists everyone who gives you feedback or talks to your support team: signed-up users, engaged anonymous visitors (leads), and the companies they belong to. This article covers finding and filtering users, what the user profile shows, editing, blocking and removing users, and inviting people to your portal.

Note: Users are your customers. Team members (the people who work in the admin) are managed separately in Settings > Members & Teams. See Manage your team.

Overview

Open Users from the admin sidebar. You can:

  • browse all users, leads, and companies
  • search by name or email, and filter by activity, email status, segment, and more
  • open a user's profile to see their posts, votes, comments, and conversations
  • add users to segments, companies, and tags
  • invite people to your portal

Directory views

The Directory section of the sidebar splits people into views:

Identified users: people with an account in your portal or identified through your app

Anonymous visitors who engaged (voted, commented, posted, or started a conversation) without an account

All companies

The company directory. See Manage companies.

Invitations

Portal invitations you've sent

Below the directory, the Segments section lists your segments. Click one to show only its members. See Group users with segments.

Note: When a lead later signs up or is identified, they move from All leads to All users. You can also fold a lead's activity into an existing user with Merge on the lead's profile.

Find users

Use the search bar to find users by name or email.

Filters

Click Filter to add conditions:

  • Email Status: verified or unverified
  • Email Domain: for example everyone at one company domain
  • Date Joined
  • Post Count, Vote Count, Comment Count: at least, more than, at most, less than, or exactly a number

The user profile

Click a user to open their profile. It shows:

  • counts of their Posts, Comments, and Votes, plus when they were last seen, when they joined, and their country
  • an Activity tab listing posts they wrote, commented on, or voted on
  • a Conversations tab with their support conversations (when the support inbox is on)
  • Company, Segments, Tags, and Attributes cards
  • Account details such as when the account was created and any external ID from your app
  • their changelog email subscription

Edit and organize users

  • Edit details: use the edit control on the profile to change the name or email.
  • Company: search for a company or create one to link the user to it.
  • Segments: add or remove the user from manual segments.
  • Tags: label the user, creating new tags as you go.

To add many users to a segment at once, select them in the list and use Add to segment or Remove from segment.

Create a user

  1. Click New user.
  2. Enter a Name and, optionally, an Email.
  3. Check Email is verified only if you know the address belongs to this person. It grants the same portal access as a confirmed email.
  4. Click Create user.

If a user with that email already exists, you'll see it and can open their profile instead. You can also create users on the fly when adding a vote on someone's behalf (Add voter > Create new user on a post).

Block, merge, or remove a user

Open the user's profile menu:

  • Block: they can't send new messages or sign in again. Their existing activity stays, and you can Unblock them at any time.
  • Merge (leads only): fold this lead's activity into an identified user.
  • Remove from portal: they lose access to vote and comment, and their votes are withdrawn. Their posts, comments, and conversations stay, attributed to "Deleted user". They can sign up again later.

Tip: To clean up spam sign-ups, filter by unverified email, sort by newest, and remove suspicious accounts.

Invite people to your portal

Invitations bring specific people into your portal, for example a private beta, without setting up a domain or segment allowlist.

  1. Click Invitations in the sidebar.
  2. Click Invite users.
  3. Paste up to 50 email addresses, separated by commas, spaces, or new lines.
  4. Optionally add a personal message (up to 500 characters). It's included in the email.
  5. Send the invites.

Switch between Pending, Accepted, Expired, and All to track invitations. Each pending invite has these actions:

Action

What it does

Copy link

Copies the sign-in link from the email so you can share it directly.

Resend

Sends the email again.

Revoke

Cancels the invite. The link stops working.

Invites are valid for 14 days, then expire. Sending invites requires workspace admin access.
